02 / Problem & Goal

A funnel can capture the lead. The harder part is what happens next.

A free-trial offer only works operationally if the lead receives a fast response, gets onto the calendar, receives the right reminders, progresses through the trial, and reaches the membership conversation at the right time.

If those steps depend on someone remembering what to do next, follow-up becomes inconsistent.

The system was designed to give that journey a defined operating process inside GoHighLevel while deliberately keeping the actual membership sale human.

Automate the timing and coordination. Keep the relationship sale human.

The journey begins with the free-trial form

Clicking Start My Free Week opens a short lead-capture form for the prospect's name, email, phone number, and messaging consent.

Submitting that form is the event that enters the prospect into the automation and places the opportunity into the first CRM stage.

04 / Inside the Build

Inside the build

Respond immediately, then keep the booking path moving

Once the free-trial form is submitted, the 001 Trial Claimed workflow handles the first automated response and booking follow-up.

The documented behavior includes immediate SMS and email, a booking link, owner notification, and follow-up at one hour, one day, and four days.

Follow up after the conversation, not instead of it

Once the opportunity reaches 004 Membership Offer Made, the system handles the repetitive follow-up around the decision.

The documented sequence follows up on day one, day three, and day six, while stopping once the prospect replies.

The automation supports the sales conversation without pretending to replace it.

004 Membership Offer Made

A clear path for leads who do not join

A lead who does not progress should not remain indefinitely inside an active sales stage.

900 No Join provides a defined close-out state for cold, declined, or unrecovered opportunities.

The dedicated close-out and re-engagement workflow shows that the system also accounts for what happens when the ideal journey does not complete.

05 / Key Decisions & Challenges

Automation handles consistency. People handle judgment.

Automation follows real customer events

Booking moves the lead into 002 Intro Session Booked, where confirmation, appointment reminders, cancellation handling, and no-show recovery take over.

The next stage does not begin because a timer expires. It begins when attendance is actually confirmed.

Appointment marked Showed → 003 Trial Active

Not every stage should be automated

The system can remind the owner when the membership conversation should happen, but it cannot know that the conversation actually happened.

The owner moves the opportunity only after the conversation takes place. That manual checkpoint keeps CRM state tied to a real business event.

003 Trial Active → Membership conversation → Owner moves opportunity → 004 Membership Offer Made

System handles

  • immediate lead response
  • booking links
  • reminders
  • follow-up scheduling
  • trial check-ins
  • owner prompts
  • CRM workflow coordination
  • re-engagement logic

Team handles

  • running the intro session
  • confirming physical attendance
  • coaching the trial member
  • membership conversation
  • manually confirming that the offer was made
  • the actual relationship sale
  • judgment and personal interaction

What the system deliberately does not automate

Membership sales remain human
Automation creates the right timing and follow-up around the conversation. It does not try to replace it.
Attendance requires confirmation
The trial workflow waits for the appointment to be marked Showed.
Member onboarding is separate
Once the lead reaches 901 Member, this lead-generation system hands off.
Messaging depends on correct account setup
Automated US SMS requires the necessary messaging registration and configuration.

A workflow is not finished because the diagram looks correct

Before activation, the journey needs to be tested with a test contact across the important paths.

  1. submit the funnel form
  2. verify immediate SMS and email behavior
  3. test booking
  4. verify pipeline movement
  5. test reminders
  6. test Showed, no-show, and cancellation behavior
  7. verify trial-week messages
  8. verify owner tasks and escalation
  9. move into the membership-offer stage
  10. test reply-based follow-up stopping
  11. verify Member
  12. verify No Join

06 / Outcome & Takeaways

What the system enables

Operational outcome

The system gives the free-trial journey a defined operating process from first opt-in through final CRM outcome.

Response, booking, reminders, trial communication, owner prompts, stage movement, and follow-up are coordinated around the same lifecycle instead of depending on separate manual actions.

The repetitive timing is automated while the actions that require judgment remain with the team.

Key takeaway

Designing the state machine matters as much as designing the automation

The key lesson from this system is that CRM automation works best when workflow logic is tied to meaningful business states.

A form submission, confirmed booking, recorded attendance, completed sales conversation, and final decision represent different realities. Treating them as separate states makes it possible for the automation to respond appropriately without assuming events that have not actually happened.
